We provide a travel facilitation and booking support service for Hajj and Umrah packages. Our role is to help customers understand available packages, collect booking requests, verify basic documents, and connect the customer with the relevant agency or service partner for further processing.

This page is written to make our process transparent, fair, and easy to understand.

  • You understand the booking token and verification process;
  • You agree that the booking token is non-refundable after payment;
  • You accept that final travel confirmation depends on document verification, agency approval, and official rules.

If you do not agree with these terms, please do not make a payment or submit a booking request.

3. Nature of Our Service

Trips Hajj & Umrah is not a government authority. We are a private booking and facilitation platform.

Our services may include:

  • Package display and customer enquiry handling;
  • Booking initiation through token payment;
  • Document collection and verification support;
  • Customer coordination through call, WhatsApp, or email;
  • Connecting the customer with the assigned travel agency or service partner;
  • Helping the customer understand the next steps of the pilgrimage process.

We do not guarantee:

  • Instant booking confirmation;
  • Visa approval;
  • Flight availability;
  • Hotel allocation;
  • Transport confirmation;
  • Government approval;
  • Final acceptance by any external agency or authority.

All final outcomes depend on document status, official rules, service availability, and third-party processing.

4. Booking Process

Our booking process is designed to be simple and transparent.

Step 1: Customer selects a package The customer reviews the available Hajj or Umrah package on the website and submits an enquiry or booking request.
Step 2: Token payment To begin the booking process, the customer pays 10% of the selected package amount as a token booking amount.
Step 3: Internal contact from our team After payment is received, our team contacts the customer to explain the next steps and begin coordination.
Step 4: Document verification We collect and verify the required documents before moving the case forward.
Step 5: Agency connection After verification, we connect the customer with the relevant travel agency or operational partner for further processing.
Step 6: Further processing The agency or service partner may continue with: final package processing, hotel selection, travel arrangements, visa documentation, official submission steps, and other required procedures.

5. Booking Token Policy

The booking token is the first amount paid by the customer to start the process.

Important booking token rule:
The 10% token amount is non-refundable once paid.

This token amount is used to:

  • Reserve the customerโ€™s booking request,
  • Begin internal processing,
  • Assign staff for verification,
  • Initiate coordination with the agency,
  • And cover administrative handling.

Once the token is paid, the booking process is considered started. The customer should only make payment after fully reading and understanding this policy.

6. Document Verification Policy

After token payment, our team will contact the customer for document verification.

Documents may include:

  • Passport details;
  • Identity proof;
  • Age proof;
  • Passport-size photograph;
  • Travel eligibility documents;
  • Other documents required by the assigned agency or official process.

During verification, we may:

  • Check that the documents are valid and readable;
  • Compare the documents with the booking details;
  • Request missing or updated documents;
  • Pause processing if something is incomplete;
  • Reject processing if false or invalid documents are submitted.

Customer responsibility:
The customer must ensure that all submitted documents are correct and updated. If incorrect information is submitted, processing may be delayed, suspended, or cancelled.

7. Booking Confirmation Policy

Payment of the token amount does not mean the full package is automatically confirmed.

A booking becomes fully confirmed only when:

  • Documents are successfully verified;
  • The customer is eligible for processing;
  • The assigned agency accepts the booking;
  • And the necessary travel process can continue.

Until then, the booking remains initiated and not final.

8. Refund Policy

This refund policy is strict and clear.

8.1 Token amount
The 10% token amount is non-refundable after payment.

8.2 No refund situations
No refund will be given in the following situations:

  • Customer changes mind after payment;
  • Customer fails to submit documents;
  • Customer delays the process;
  • Customer does not respond to calls or messages;
  • Documents are incomplete or incorrect;
  • Booking is cancelled after processing has started;
  • The assigned agency has already begun handling the request;
  • Visa, travel, or government approval is not granted;
  • Any third-party delay occurs;
  • Any force majeure event affects travel;
  • The customer is found ineligible under the applicable process.

8.3 Exceptional refund cases
Refunds may be considered only in rare situations such as: duplicate payment, technical payment error, or a refund required by law. If any refund is approved, payment gateway charges, administrative charges, document handling charges, and service processing costs may be deducted where applicable.

8.4 Refund approval
Any refund, if applicable, will be processed only after internal review and written confirmation.

9. Cancellation Policy

If the customer cancels after payment:

  • The token amount remains non-refundable;
  • Any processing already started will be treated as completed work;
  • If the agency has already begun handling the case, cancellation charges or service deductions may apply;
  • The customer cannot claim a full refund simply because they changed their decision.

If we cancel a request due to our own operational reason, we may either: offer a replacement solution, continue the case later, or issue a refund only if legally required or approved in writing.
